How the ordering actually works

Corporate drinkware orders follow a fairly standard shape, and knowing it makes vendor conversations shorter.

Prices are indicative for insulated steel and move with specification, colourway and packaging. Lead times quoted in August do not hold in October — the fortnight before Diwali is the worst time to discover that.

Three things worth settling in the first conversation: the minimum order quantity, whether customisation is engraving or print, and what happens if your headcount changes after the order is placed. The third question is the one most buyers forget and most regret.

What makes a corporate gift work

The measure is not how it looks unwrapped. It is whether it is still in use three months later, and whether the recipient can tell it cost thought rather than budget.

• Daily use beats occasion use. Something on a desk every morning outperforms something used twice a year.
• Restraint in branding. A subtle mark reads as a gift; a logo-covered item reads as merchandise, and merchandise gets left in the office.
• One good item beats a bundle at the same total cost, almost without exception.
• Uniformity matters internally. Visibly different gifts across a team creates a conversation nobody wants to have.

Budgeting it properly: GST and perquisite

Two rules decide whether a gifting budget survives contact with finance, and both are commonly got wrong in the same direction — optimistically.

Assume GST is a cost, not a recoverable. Input tax credit is generally unavailable on goods given away as gifts, so a budget built on recovering it is short by the tax from the outset. Insulated steel is HSN 9617 at 18%, the same rate as glass and PET, so budget GST-inclusive at 18% whatever the hamper contains.

Watch the ₹5,000 aggregate. Gifts in kind up to ₹5,000 per employee per financial year are generally not a taxable perquisite. The trap is that it is annual and cumulative — a Diwali gift on its own rarely breaches it, but combined with a joining kit and an anniversary gift it can.
