How-To

Getting a Sample from a Drinkware Manufacturer

A useful sample carries your artwork, in your chosen branding method, on the exact body and lid you intend to order — because a plain stock bottle only proves the factory has stock. Expect to pay for a branded sample and expect it to take longer than the bottle itself, since a one-off print or etch setup costs more than a unit in a run. When it arrives, four tests answer most of what a bulk order can go wrong on: the dimple, boiling water, condensation, and a timed inverted leak test.

Key Facts

  • A sample without your artwork proves stock, not capability.
  • Branded samples normally carry a charge; the setup is the cost, not the bottle.
  • Order the sample on the exact body and lid you intend to scale.
  • Put a printed sample through a dishwasher before committing to printing.
  • Four physical tests — dimple, boiling water, sweat, timed inversion — catch most problems.

What to ask the sample to prove

A sample is an experiment, so decide the hypothesis first. There are only three worth testing:

  • Does my artwork survive this method at this size? This is the usual one, and it needs your real logo at the real dimensions on the real curve — not a generic proof.
  • Does the product perform as rated? Testable in a morning with the four checks below.
  • Does the lid suit my customer? A straw lid and a chug cap are different products to a user, and this is the decision most buyers get wrong on a spreadsheet.

Anything else — packaging feel, colour match, box print — is worth seeing but will not change whether the order works.

The four tests, in order

  1. The dimple. Lift the base cap. A sealed pump-out port should be there. No dimple means no pumped cavity, and nothing else on this list matters.
  2. Boiling water, two minutes. Fill, seal, wait, touch the outside. A working vacuum reads close to room temperature. Warm is a fail.
  3. Cold fill, thirty minutes. In Indian humidity a working vacuum bottle stays dry outside. Condensation means air in the cavity.
  4. Inverted, fifteen minutes, on paper. Full and sealed, upside down. Define the test in writing before you order, or "leakproof" is just an adjective in an email.

Then, if you are printing: run the sample through a dishwasher cycle. The print is the part that ages, and this is the cheapest possible way to find out how fast.

What a sample costs, and what the charge tells you

A branded one-off costs more per unit than a production unit, because you are paying for a setup spread over one piece. A supplier that charges for it is behaving normally. A supplier that offers unlimited free branded samples is either absorbing the cost to win the order or is not doing a real setup.

What is fair to expect: the charge credited against a subsequent bulk order, a clear lead time, and the sample made on the actual body and lid you specified rather than the nearest thing in stock.

HYV's retail name etching is priced at ₹150 a unit, which indicates the order of cost for a single-piece mark; trade sampling is quoted against the brief. Production on existing bodies runs 7 to 14 days, and a sample is usually quicker than a run but not always, because a one-off has to wait for a free setup window.

Disclosure

HYV supplies samples and charges for branded ones, so the defence of sample charges above is self-interested. The four tests are the part to keep: they are physical, they cost nothing, and they work on a sample from any supplier including this one. Where HYV is not the answer: it cannot sample a shape it does not make, so if your brief needs a new body this is not the route. HYV makes insulated steel bottles from ₹899.

Frequently Asked Questions

Should a sample be free?

A plain stock bottle often is. A sample carrying your artwork usually is not, because the setup is the cost rather than the bottle. Asking for the charge to be credited against the bulk order is the normal middle ground.

How long does a branded sample take?

Often as long as a small run, sometimes longer, because a one-off waits for a free setup window. Ask for the date in writing and treat a vague answer as information about the supplier.

Can I test retention properly at home?

You can establish whether the vacuum works, which is the failure that matters, using boiling water and a condensation check. You cannot replicate the laboratory conditions a standard uses, which is what certification is for.

What if the sample is good and the bulk order is not?

That is what an inspection gate in the agreement is for — who checks, against what sampling plan, and who pays for a rework. Approve the sample in writing and make it the reference the gate is measured against.

Should I sample from more than one supplier?

Yes, and sample the same artwork on the same capacity from each. Comparing a printed 750 ml from one against an etched litre from another tells you nothing you can act on.
